Meeting Room Policy


Governmental and non-profit groups engaging in civic, educational, fraternal, cultural, intellectual or charitable activities may reserve the use of the meeting room when the facility is not needed for activities sponsored by the Library. Application shall be in writing and on a standard form when requested by the County Librarian or designee.

Permission to use the meeting room will not be granted to commercial groups to sell any material or service or promote future sales. Commercial groups shall be limited to those doing business in the library service area.

Governmental and non-profit groups may charge reasonable admission fees or request donations, or sell merchandise, upon the prior approval of the County Librarian or designee. Admission fees shall not be paid nor donations requested of those persons who desire to attend a meeting but are unable to pay. The County Librarian or designee may require that any announcement of a meeting shall contain a notice that no fee is required nor donation will be requested from one who cannot afford it but wants to attend the meeting.

Permission to use the meeting room does not imply Library endorsement of the aims, policies or activities of any group or organization. The County Librarian or designee may require this language to be included in any announcement of the meeting or be stated in writing at the entrance to the meeting.

Any substantial interference, noise, lack of adult supervision of children, or other nuisance or violation of these rules can result in cancellation of the meeting. The County Librarian or designee may deny the conduct of any activity that may tend to mar the premises without adequate provisions for clean up or the repair of any damage.

The Library reserves the right for staff to attend any meeting held in its facility to ensure that no unlawful activities are occurring on Library premises or that meeting room policy is being violated in any other way.

Use of the meeting room may be limited, at the discretion of the County Librarian or designee, based on the frequency of use. If the use of the room is denied by the County Librarian or designee for any reason, it shall be reported to the Library Board by the County Librarian at its next regular meeting.

Food or drink may be allowed in the meeting room upon prior approval of the County Librarian or designee, and upon adequate provisions for clean up and repair of damage to the property.

The meeting room will only be available for use during normal business hours of the Library. Projectors may be reserved for use in the meeting room at the circulation desk.  There are 85 chairs available in the meeting room closets.

There is no smoking nor alcoholic beverages allowed in the meeting room.
